Exhibitor Responsibilities:

Setup and Dismantling: Exhibitors must set up their booths on Thursday, 11 September, 2025 from 12:00 to 17:00 and dismantle on Saturday, 13 September, 2025 from 20:00 to 22:00.

Operating Hours: Exhibitors are required to staff their booths during the official show hours.

Branding and Materials: Exhibitors are responsible for ensuring all branding, marketing materials, and display setups are aligned with the event's policies.

Terms and Conditions:

Deadline: All exhibitor registrations must be completed by 30 June 2025.

Cancellation Policy: Please note : No Refund

Booth Allocation: Booths will be allocated on a first-come, first-served basis. Special requests for booth location will be considered but cannot be guaranteed.

Liability: Exhibitors are responsible for ensuring their booth is staffed and maintained throughout the event. Africa Travel Shows Ltd will not be held liable for any damages, losses, or theft of exhibitor materials.

Insurance: Exhibitors are strongly advised to have adequate insurance coverage for their property and personnel during the event.

Exhibitors Inclusion

1. Exhibition Stand

  • Professionally designed booth space in one of five themed zones:
    • Zone 1: Gastronomy
    • Zone 2: Gallery
    • Zone 3: Culture & Music Arena
    • Zone 4: Tourism Forum Pavilion
    • Zone 5: Business Forum Pavilion
  • Booth includes signage, power access, and optional display accessories.
  • Assistance available for booth set-up and branding.

2. Access Passes

  • Up to 4 exhibitor badges per stand, valid for the full two-day event.
  • Entry to Trade and Consumer Day events, talks, networking lounges, and business forums.

3.Marketing & Promotion

  • Profile listing in the Official Event Guide (print and digital).
  • Logo and company listing on the Africa Travel Show website.
  • Featured in email newsletters and social media spotlights.
  • Submit stories or highlights for press and media coverage.

4. Business Development Opportunities

  • Access to B2B matchmaking sessions with buyers, operators, and media.
  • Invitations to networking events, hosted buyer receptions, and VIP lounges.
  • Priority for pre-scheduled buyer or media meetings.

5. Media Exposure

  • Inclusion in media preview tours during the event.
  • Opportunities for live interviews or press briefings (by request).
  • Brand featured in media recaps or highlight reels.

6. Hospitality & Logistics Support

  • Access to Exhibitor Lounge with refreshments and working space.
  • Dedicated team for exhibitor and technical needs.
  • Wi-Fi and charging stations at designated points.

Guest Pass Policy – FOC Entrances

  • Each exhibitor receives Free of Charge (FOC) Guest Passes for general entrance, which can be split over the two-day event:

Note: Guest passes provide general access only and do not include backstage, speaker lounges, or premium access areas unless upgraded.Guest names must be submitted in advance or checked in at the registration desk.

Optional Add-Ons (On Request)

  • Additional guest passes beyond quota (discounted rate £20 per day).
  • Sponsorship of stages, lounges, lanyards, or digital content.
  • Stage time or demo slot for select exhibitor types (subject to approval).
